BeeKeeper Support

Support that has seen your exact problem before

Real people who work with school groups all day, every day.

One email, from the 9pm problem to the fix that shipped

Written down partly so you can hold us to it.
  1. It is 9pm and the books are wrong

The balance is off by $40.12, the meeting is Thursday, and what you are stuck on is not in any help article because it is about your books rather than about the software.

  2. You write in

Reply to any email BeeKeeper sends you, or write to support@futurefund.com. Tell us the organization and what you were trying to do. You do not have to diagnose it first — that is the part we are for.

  3. Somebody who only does this reads it

PTAs, PTOs, booster clubs, ASBs and councils, all day. Fiscal years that start in July, per-capita dues owed upward, an audit committee of three parents, a treasurer who changes every year. None of that has to be explained before you get to your actual question.

  4. Your email address opens your own books, and only yours

We look your organization up by the address on your message, and the lookup resolves through that address's own accepted membership. An address that belongs to no organization returns nothing at all — and a reviewer's address, someone who signs approvals and sees no ledger inside the product, opens no ledger here either.

  5. We read the actual transaction

Your accounts, your reconciliations, the ledger itself — read-only. So the reply names your check, your account and your date, instead of handing you a checklist that could have been written for anybody.

  6. You get an answer, or a fix

Most end with an explanation and a link. Some end with a correction written into your ledger: a one-off script, written by a person, reviewed, and run once against your organization and nothing else.

  7. The log says we did it, not you

A support correction is recorded in your activity log as FutureFund Support, with the officer who approved it and the ticket number. Your own history never claims you made a change you did not make — which is what matters when the audit committee reads that log in June.

The hardest support questions in bookkeeping are not about the software

They are about a set of books that somebody else started, in a year that is already half over.
The answer assumes you have a bookkeeper

Most accounting support is written for a business with staff. It tells you to ask your accountant. There is no accountant. There is you, on a Tuesday, with a bank balance that is off by $40.12.

You are one person with a question at 10pm

The kids are down, the meeting is Thursday, and the thing you are stuck on is not in any article because it is about your books, not the software.

Nobody can see what you are seeing

Describing a wrong number over email is its own skill. You send a screenshot of a screen that is already wrong and hope somebody understands what it should say.

What we will look at your books means

It is the sentence support teams say and almost never mean. Here it is literal, and here is exactly how far it goes — including the parts that stop us.

The emails we get most

None of these are software questions. All of them are answerable.
The opening balance will not tie

Every month since is off by the same amount. It is almost never the reconciliation. It is the number the books started with.

We are coming off myPTEZ

Outstanding checks, void pairs, and dues that were booked gross. We have imported enough of them to know where each one goes wrong.

The bank feed brought it in twice

Two connections to the same account, each pulling the same deposit under its own id. It reads as a duplicate because it is one.

The check printed for the wrong amount

The paper is out in the world for one number and the ledger says another. There is a right way to unwind that and a wrong one.

We need to close the fiscal year

What has to be true before you close it, what closing actually posts, and how to reopen if the auditor finds something in August.

I am handing this to someone in June

What the next treasurer needs, what they will ask you three weeks later, and how to make sure the answer is in the books rather than in your head.
