From the checkout line to a check, without anybody making an account

  1. They are standing at the register

    A parent has just put $46 of paper plates and juice boxes for the class party on their own card. The receipt is in their hand and this is the only moment it will ever be easy to find.

  2. They open ReimburseBee and type a phone number

    A six-digit code arrives by text. That is the entire sign-in — no password, no account, nothing to remember next year. Codes expire, work once, and asking for too many too quickly is refused.

  3. They photograph the receipt

    One photo per receipt, taken there in the aisle rather than found in a cupholder in March. They pick your organization by scanning a QR code, tapping a link you texted, or typing your short organization code — and after the first time it is one tap.

  4. The amount, date and merchant come off the photo

    Reading starts the moment the report is submitted, and what it reads is checked against what they typed. By the time you open it the line usually already says whether the two agree.

  5. Sent, in under a minute

    An amount, a date, what it was for, and how they would like to be paid — and only the payment methods your board actually offers are on the list. They are back in the car before the receipt could have gone missing.

  6. It lands in your queue

    The same queue as a report typed in by you or sent through your share link. There is no separate mobile inbox to remember to check. You get an email, and so do the other admins and editors on your board.

  7. You approve it, and the payment is recorded

    Approve, and say how it was paid: a check you wrote by hand, a check queued to print, or a Zelle transfer with its confirmation number. The journal entry is written at the same moment — approving a reimbursement and booking it are one action, not two.

  8. Their phone tells them

    A push notification goes to every device they have signed in on, approved or rejected, so nobody has to ask you in the pickup line in October whether it went through.
